The First Thing I Do When a Client’s Digital Workspace Is a Mess

I’ve seen a lot of digital workspaces.

Canva accounts with 400 unnamed designs. Google Drives with folders inside folders inside folders, none of them labeled in any logical way. Inboxes with thousands of unread emails. Project management tools set up six months ago that nobody actually uses anymore.

When a new client comes to me and their digital workspace is in this kind of shape, the first thing I do is not what most people expect.

I don’t start organizing. I don’t start deleting. I don’t open a folder and start dragging things around.

The first thing I do is ask questions.


Why Questions Come Before Organization

It sounds simple, but it changes everything.

A disorganized workspace isn’t just a mess. It’s a map. It tells you how someone actually works, what they prioritize, where they get stuck, and what they’ve been avoiding. If you skip straight to organizing without understanding any of that, you’ll build a system that looks clean but doesn’t actually fit the person who has to use it.

I’ve seen it happen. Someone hires a VA or a consultant, their Drive gets reorganized into a beautiful structure, and three months later it’s a mess again. Not because the person is disorganized by nature, but because the system wasn’t built around how they think and work.

So before I touch anything, I want to understand a few things.


The Questions I Ask First

How do you currently find things?

Not how you think you should find things. How you actually do it right now. Do you search? Do you remember folder names? Do you just scroll until you spot it? The answer tells me a lot about what kind of organization will actually stick.

What causes you the most frustration day to day?

This points me toward the highest priority problems. Sometimes it’s that assets are scattered across three different platforms. Sometimes it’s that there’s no clear place for content in progress versus content that’s done. Sometimes it’s simpler than that — they just can’t find their own logo when they need it.

What tools are you actually using versus what tools are just sitting there?

Most small business owners have accumulated tools they signed up for, tried once, and never touched again. Before building any system, I want to know what’s actually in play so we’re not organizing around tools that aren’t being used.

What does your ideal workday look like?

This one matters more than people expect. If someone does their best creative work in the morning and wants to batch content on Thursdays, the system I build should support that rhythm, not fight against it.


Then We Do a Simple Audit

Once I have a picture of how someone works, then we look at what they have. Not to judge it, just to understand it.

What platforms are they using? Where does content live? Where do ideas go when they come up? What’s the current process for getting something from idea to published?

Usually by this point, the path forward is pretty clear. Not because the workspace is simple, but because we understand the person behind it.


What Comes Next

From there, I build a system that fits. That might mean restructuring a Google Drive with a folder system that mirrors how they actually think. It might mean setting up a Canva brand kit so they’re not hunting for their own colors and fonts every time they sit down to design. It might mean creating a simple content planning board that gives them visibility into what’s coming without overwhelming them.

The goal is never perfection. The goal is clarity. A workspace where you can sit down, know where everything is, and spend your time actually doing the work instead of looking for the things you need to do it.

That’s what a digital workspace system is supposed to do. And it starts not with organizing, but with understanding.
