Why I Stopped Calling Myself a Virtual Assistant (And What I Do Instead)

For years, I introduced myself as a virtual assistant.

It was accurate enough. I was helping businesses run. I was handling the things that kept falling through the cracks. I was the person clients called when they were overwhelmed, understaffed, or just couldn’t keep up with everything on their plate.

But somewhere along the way, I started to notice something.

The work I was doing wasn’t really “virtual assistant” work anymore, if it ever truly was. I wasn’t just checking things off a to-do list. I was building things. I was looking at how a business operated and figuring out why it felt so chaotic. I was designing workflows, organizing digital workspaces, creating content systems from scratch, and putting structures in place that let my clients breathe again.

I was doing the work of a systems architect. I just hadn’t called it that yet.


The Problem With the “VA” Label

The term virtual assistant carries a lot of baggage. When most people hear it, they think task management. Inbox monitoring. Calendar scheduling. The stuff that needs to get done but doesn’t require much strategic thinking.

And while there’s nothing wrong with that work, it wasn’t telling the full story of what I was doing for my clients.

More importantly, it was attracting the wrong conversations. I’d get on discovery calls with people who wanted someone to answer emails and post on social media three times a week. And while I could do those things, what they actually needed was a system. A real, sustainable structure that would make all of those tasks easier, faster, and more consistent.

The “VA” label was getting in the way of the conversation I actually wanted to have.


What I Actually Do

When I work with a client now, the first thing I’m looking at isn’t their task list. I’m looking at how their business operates.

Where are things breaking down? Where are they losing time? What does their digital workspace look like? Is it organized in a way that actually supports how they work, or is it a collection of folders nobody can find anything in?

I work across three areas:

Digital Workspace Systems: Getting the tools you already use actually organized. Canva, Gmail, Google Drive, project management platforms, content planning systems. The goal is clarity. When you sit down to work, everything should have a place and a purpose.

Content Workflow Systems: Building the structure behind your content so you’re not constantly starting from scratch. Planning pipelines, asset libraries, batch workflows, repurposing frameworks. Content that works harder because it’s built inside a system.

Ongoing Systems Support: For clients who want a partner to maintain and refine their systems as their business grows and evolves.

This is the work I’ve always done best. I just finally have language for it.


Why the Shift Matters for You

If you’ve been looking for a virtual assistant because things feel chaotic, I want you to consider something.

The chaos usually isn’t a people problem. It’s a systems problem.

Adding another person to a broken workflow doesn’t fix the workflow. It just gives the chaos more hands to pass through.

What actually creates lasting relief is building the structure that makes everything easier to manage, whether you’re doing it yourself or working with someone else.

That’s what I do now. And honestly, it’s what I’ve always done.

I just stopped calling it something smaller than it was.
